This Privacy Policy explains how Wolfe Racing Club LLC ("Wolfe," "Wolfe Racing Club," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information.

This Policy applies to wolferacingclub.com and other Wolfe-operated online services; membership applications; Member accounts and portals; Club Membership; Development and Competition services; concierge services; events; vehicle sourcing; communications with Wolfe; privacy requests; and other Wolfe services that reference this Policy.

1. Our privacy approach

Wolfe serves a relatively small private membership community. Discretion is an important part of that relationship. We collect what we actually need, do not collect information merely because it might someday be useful, do not sell Member information, do not use sensitive Member information for advertising, limit access to people who reasonably need it, use specialized third-party providers for sensitive functions where appropriate, and delete information when we no longer have a legitimate reason to retain it.

The launch configuration does not enable behavioral advertising, advertising pixels, or non-essential website analytics. Necessary hosting, authentication, form-security, and operational records are different from advertising tracking.

2. Contact information

Depending on your interactions, we may collect full name, preferred name, email address, telephone number, mailing address, and communication preferences.

3. Membership application information

When you apply, we may collect age confirmation, motorsports background, racing experience and licenses, vehicle interests, racing goals, preferred series or programs, preferences, general budget ranges you voluntarily provide, availability, application responses, referrals, and other information you choose to provide. We use this information to evaluate membership and determine whether Wolfe may be a good fit. Submission does not guarantee membership or create a Member account.

4. Member profile information

For accepted Members we may maintain membership level and selected management service, start and renewal dates, Founding Member status, preferences, event participation, vehicles, motorsports interests, concierge and service requests, program history, communications, agreements, authorizations, cancellation records, and privacy choices. A member directory is optional and hidden by default; private profile information is not automatically published there.

5. Development and Competition information

Additional information may include driver history, race results, licensing status, team preferences, testing history, racing schedules, approved budgets, program objectives, vehicle preferences, equipment requirements, coaching history, performance information, telemetry, and onboard video.

6. Transaction and payment information

We may maintain membership and Wolfe service fees, invoices, payment status and dates, billing address, and transaction references. Specialized providers handle payment processing where offered. Wolfe does not store full card numbers or card security codes in its ordinary Member database. Race teams, coaches, travel providers, vehicle sellers, and other vendors are ordinarily paid directly by Members. The current platform records verified external payment references; recording a reference does not itself charge a payment method.

7. Concierge and travel information

At a Member's request, information may include hotel and airline preferences, preferred airports, travel dates, transportation and loyalty-program preferences, dietary or accessibility requests, equipment and racing-suit sizes, helmet information, and hospitality preferences. We minimize collection of sensitive travel information such as passports, Known Traveler Numbers, visa information, and government-issued credentials, using appropriate travel providers where practical. Actual bookings and payments are ordinarily handled by an independent travel-agency partner or directly with providers. Do not upload passports, payment details, or medical histories through ordinary website forms.

8. Vehicle sourcing information

We may process desired vehicle, budget, specifications, purchase preferences, seller communications, inspection information, transaction status, and transportation requirements. Purchase funds and title ordinarily pass directly between the Member and seller or transaction provider, not Wolfe.

9. Communications

We may retain emails, application communications, Member-service messages, form submissions, feedback, scheduling and support requests, privacy requests, and motorsports-program communications. Material contractual, financial, safety, or dispute communications may be retained with the related record.

10. Website information

Hosting and security infrastructure may process IP address, browser and device information, request date/time, server requests, security events, and diagnostics. Wolfe does not use these records to create advertising profiles or track visitors across unrelated websites. When enabled, Cloudflare Turnstile processes technical information for abuse prevention on forms and authentication. Hostinger serves the site; Supabase supports authentication, database services, and private document storage in the current implementation. Operational email is delivered through the configured email provider.

11. Cookies and similar technologies

The launch configuration uses only technologies necessary to operate and secure the website, maintain sessions, process forms, prevent abuse, remember necessary state, and provide requested functionality. It does not enable Meta Pixel, LinkedIn Insight Tag, behavioral advertising pixels, retargeting, cross-site advertising trackers, Google Analytics, or other non-essential website analytics. The necessary account cookie and security-provider behavior are described in the Cookie & Tracking Notice. If optional technologies are introduced, disclosures and appropriate controls will be updated before activation. Optional marketing and AI integrations in the code are disabled in this release; they are not silently activated by this Policy.

12. How we use personal information

We use information to evaluate applications, administer membership and the portal, communicate with Members and applicants, coordinate racing, testing, team introductions, licensing, coaching, concierge and travel logistics, source vehicles, process Wolfe fees, maintain records, manage events and signed agreements, provide safety communications, prevent fraud or abuse, secure systems, resolve disputes, comply with law, enforce agreements, and improve services. Another purpose must be disclosed when collected or supported by appropriate consent.

13. Marketing

Wolfe may send Club news, event announcements, service information, membership updates, and newsletters where permitted and consistent with your choices. Marketing email opt-in is separate from an application acknowledgment and optional. You can unsubscribe using the communication's mechanism or contact us. Operational messages about membership, payments, renewal, booked services, safety, contracts, attended events, privacy, or security may continue. Launch configuration does not enable automated marketing synchronization.

14. We do not sell personal information

Wolfe does not sell personal information for money and does not presently use it for cross-context behavioral or targeted advertising. A material change requires updated disclosures and legally required choices before the new practice begins.

15. Sensitive personal information

We may occasionally process government identifiers, passport and travel credentials, health or emergency information, precise financial information, or information about minor participants. Collection and use are limited to a requested service, safety, travel, licensing, participation, legal requirements, or another clearly disclosed purpose, with consent where required. We do not use this information for behavioral advertising.

16. Health and emergency information

Certain activities may require emergency contacts, allergies, medical considerations, participation restrictions, or emergency information. Wolfe is not a healthcare provider. We seek to limit collection to safety, participation, emergency response, and applicable licensing or program requirements.

17. How we disclose information

Relevant information may be disclosed to providers of hosting, cloud storage, email, Member management, electronic signatures, payment processing, accounting, cybersecurity, travel, or communications; race teams, coaches, professional drivers, tracks, sanctioning bodies, series, vehicle owners, shops, equipment and transport providers; travel agencies, hotels, airlines, hospitality and ground-transport companies; and attorneys, accountants, insurers, cybersecurity specialists, or other advisers. We seek to disclose only what is reasonably relevant to the purpose.

18. Independent third parties

Teams, coaches, tracks, travel agencies, hotels, airlines, sanctioning bodies, and other businesses may receive information directly from you or from Wolfe for requested services. They may act as independent businesses under their own privacy policies. This Policy does not control independent processing in their own capacity. Review relevant provider policies before sharing sensitive information.

19. Legal, safety, and security disclosures

We may disclose information as reasonably necessary to comply with law or valid legal process, protect safety, investigate fraud or security incidents, enforce agreements, protect rights, establish or defend claims, or cooperate with appropriate government or regulatory authorities.

20. Business transactions

Information may be disclosed as reasonably necessary for a financing, merger, acquisition, reorganization, asset sale, or similar transaction, using appropriate confidentiality protections where practical and subject to applicable law.

21. Information about minors

Membership is intended for adults 18 and older. A Member-parent or authorized guardian may request services for a minor; the adult remains the contracting party, the minor does not become an independent Member, and financial and contractual decisions remain with the adult. Wolfe collects minor information through the parent or guardian wherever practical. Children under 13 must not directly submit personal information through the website or portal. A parent or guardian should submit the information. If Wolfe learns it collected information directly online from an under-13 child in circumstances requiring parental consent without obtaining it, Wolfe will take appropriate consent or deletion steps. This general Policy is not a substitute for a required child-directed-service notice or verified parental-consent process.

22. Additional protections for minors

Wolfe does not sell minors' information, use it for targeted advertising, profile minors for legally significant decisions, design compulsive-engagement features for them, collect precise geolocation except for a specifically necessary and appropriately authorized purpose, or retain minor information beyond legitimate, reasonably necessary purposes. New minor-facing functionality requires a separate privacy and safeguarding review before activation.

23. Parental control of minor information

An authorized parent or guardian may request access, correction, deletion, withdrawal of authorization, or cessation of future processing at memberservices@wolferacingclub.com, subject to verification, applicable law, safety requirements, and necessary records. Disputed custody or authority is reviewed before disclosure.

24. Data retention

Retention depends on purpose, sensitivity, active membership, contracts, accounting, insurance, litigation, safety, and law. Active records are retained while needed; former operational profiles and unsuccessful applications are not kept indefinitely. Sensitive travel information is deleted promptly when no longer needed and event health information has short retention where possible. Contracts, transactions, waivers, consent evidence, and legal records may require longer retention. Legal holds suspend routine deletion. Detailed internal retention procedures distinguish active systems, providers, and backup expiry.

25. Security

Reasonable safeguards may include MFA, role-based permissions, strong authentication, encryption, secure hosting, access restrictions, vendor controls, specialized payment providers, backups, account monitoring, and secure disposal. No transmission or storage system can be guaranteed completely secure. We do not describe configuration flags or a local test as an independent security certification.

26. Your privacy requests

Depending on applicable law, rights may include confirmation of processing, access, correction, deletion, portability, withdrawal of consent, and opting out of certain processing. Even where a particular statutory right does not apply, Wolfe considers reasonable requests subject to legitimate exceptions. Contact memberservices@wolferacingclub.com with subject "Privacy Request." The request-received date, not the date verification finishes, starts the operational response clock; applicable legal deadlines control. Where a right of appeal applies, the response will explain how to appeal.

27. Verifying requests

We may proportionately verify identity, account authority, parental/guardian authority, or another authorized relationship before releasing, changing, or deleting information. We do not routinely request a passport to verify a low-risk request.

28. Information we may retain

Legitimate retention may include contracts, accounting and taxes, transactions, fraud prevention, security, safety, insurance, disputes, legal claims, compliance, and suppression records that honor opt-outs. Where appropriate we retain a limited record rather than the full original information and explain the applicable exception.

29. Colorado privacy rights

The general Colorado Privacy Act has statutory applicability thresholds that Wolfe does not currently anticipate approaching. Additional protections, including those relating to certain services used by minors, can apply differently. Wolfe's program follows data minimization, transparency, reasonable security, appropriate consent, and reasonable access/correction/deletion practices. Applicable statutory rights control; low visitor volume is not treated as an exemption from every privacy or security obligation.

30. Global Privacy Control

Wolfe currently has no sale or targeted-advertising processing to opt out of. The launch preference control can indicate when the browser sends a GPC signal, but does not claim to change nonexistent advertising systems. Applicable legally recognized opt-out signals will be honored if qualifying processing is ever introduced.

31. International visitors

Wolfe is based in the United States. Providers may process information in the United States or other locations. Mandatory protections applicable to a particular service, participant, or transfer apply regardless of future expansion plans. Material international services require review of additional privacy requirements before launch.

32. Third-party links

Links to teams, tracks, sanctioning bodies, manufacturers, travel companies, vendors, or other organizations do not mean Wolfe controls their privacy practices.

33. Changes to this Policy

Updates are identified by the Last Updated date. Material changes to use of previously collected information require additional notice or consent where applicable. The date is a document version, not a dynamically changing date on every visit.
